1. Controller

Syncra AI Oy (Business ID 3655373-1) is the controller of the personal data described in this policy.

Postal address: c/o Warren Sample, Teijulantie 40, 21420 Lieto, Finland.

Privacy contact: warren@syncracloud.com or tuomas@syncracloud.com.

2. Personal data we collect

Demo and pilot requests: the name, company, work email, role, asset volume, current data sources, preferred pilot workflow, challenge description and free-text message you enter in our forms.

Role assessment: the role you select, your answers, the recommended modules and priorities, your name and work email if you provide them, and the next step you ask for.

Cookie choice: the analytics and marketing consents you give, stored in your browser.

Technical log data created by our hosting platform when a page or form is requested, such as timestamps and errors, used to keep the service secure and working.

3. Purposes and legal bases

We use your data to answer your enquiry and prepare a demo or pilot (processing necessary to take steps at your request before entering a contract), to manage our customer relationship (legitimate interest), and to comply with legal obligations such as bookkeeping.

Optional analytics and marketing cookies are used only on the basis of your consent, which you can withdraw at any time.

We do not sell personal data, and we do not use it for automated decision-making that has legal effects on you.

4. Storage and service providers

Form submissions and assessment results are stored in the database of our application platform provider (Base44), and notifications about your request are sent through the same platform to our team's mailboxes.

Access is limited to Syncra team members who need it to handle your enquiry. Our providers process data on our behalf under data processing agreements.

5. Retention

Enquiry and assessment data is kept for as long as needed to handle your request and any customer relationship that follows, after which it is deleted or anonymised.

Statutory obligations, such as bookkeeping, may require certain records to be kept longer.

Your cookie choice stays in your browser until you change it or clear your browser storage.

6. Your rights

You have the right to access your personal data, to have inaccurate data rectified, to have data erased, to restrict or object to processing, and to receive the data you provided in a machine-readable format. Where processing is based on consent, you can withdraw it at any time without affecting processing carried out before the withdrawal.

Send requests to warren@syncracloud.com or tuomas@syncracloud.com. You also have the right to lodge a complaint with the Finnish Data Protection Ombudsman (Tietosuojavaltuutetun toimisto).

7. Cookies and tracking

Until you consent, we use only the storage needed to run the site and to remember your choice. Analytics and marketing tracking — including Google, Meta and their advertising networks when such services are active — loads only after the corresponding consent and stops when it is withdrawn.

See our Cookie Policy for the categories, the services and how to change your choice.

8. Changes to this policy

We update this policy when our processing changes. The date of the latest version is shown at the top of this page.
